Job Description

To take responsibility for all administrative functions associated with the activities and company & statutory requirements of the region and to provide support to all operational personnel.

To collate and maintain all historical information required by the region including, but not limited to, personnel records.
To produce and maintain site files for the regions operations.
To assist the management and supervision of the region to ensure that you provide a general administrative support including, but not limited to, the typing and filing any description & general correspondence.
To take the role of initial/central point of contact for the regions contracts and assist in the coordination of personnel and resources to facilitate and fulfil our contractual obligations with regard to our service levels.
To respond to callers and colleagues in a friendly, professional and responsible manner and to promote the company at all times.
To strive for continuous improvement in the administrative function of the region.
In Conjunction with QS:

Receive invoice request from QS, raise invoice on Dynamics, save & send to admin staff for posting / filing
Check bank receipts on a daily basis, send finance allocation request for payments relating to Preston
Sort signed sheets, add on to applications, price variations (with assistance from QS, Estimator & Supervisors) and send to admin staff for filing
Reset applications
Add weekly job spend summary totals on to labour to revenue report
Training on other aspects of the QS role
In Conjunction with Estimator:

New works process for secured works (TBC)
Create control sheets for secured works based on Estimators quote
Enter labour allowances on to control sheet based on current target guidelines
Complete PQQ's
Enter CRM data
In Conjunction with Contracts Manager:

Populate daily register of scaffolders in work
Various correspondence
In Conjunction with Admin Staff
Enter timesheets on to Operative Spend Summary, enter holidays & forward to payroll once authorised by Management
Scan, save & file SVO/Handover sheets
Print, post & file invoices
Additional Duties

Receiving and redirecting incoming telephone calls.
Providing general administration and secretarial support to the management team.
Providing a key point of contact and coordination between site personnel, local office management & personnel and the company’s central services functions located primarily in West Bromwich.
To undertake any other reasonable request asked by management.
