Interserve is recruiting for a Commercial Assistant will actively support the Commercial Manager in overseeing all commercial and finance aspects of facilities management service delivery. Primary responsibilities are to manage the flow of chargeable works across the contract, ensure commercial principles are followed in line with the commercial contract, and support management in the achievement of business targets. It is expected that the individual appointed will be able to communicate at all levels of the business internally and externally and will have an important role to play in client review meetings. 

Due to the nature of the client the successful candidate will be required to complete SC Clearance upon appointment.
Contract Awareness
To gain an expansive knowledge of Interserve’s contracts with the Foreign and Commonwealth Office both in the UK and across Europe
To act as a point of contact for contractual/commercial queries
Review chargeable works quotations for completeness and accuracy
Ensure that quotations are contractually compliant and work orders are correctly classified
Ensure contract procurement rules are followed for all works
Follow-up with site managers where quotations are not meeting the contract time frames and target continuous improvement
Liaise with the client to resolve outstanding quotations
Complete work order status reporting
Monitor work order volumes and resolve backlogs/bottlenecks esculating were necessary
Management of the recovery of all chargeable works
Manage all supplier accreditations and deactivations (Trade-ex system)
Address supplier queries and liaise with contract and central vendor management teams
Manage Change Control notification process, ensuring any contract amendments are completed correctly and within the contract time frames
Support the Commercial Manager in reducing commercial and financial risk across the contract ensuring Commercial controls in place
Purchase order administration, including raising/approving of purchase orders
Monitor purchase order processes across contract operational team
Support month end accounting process
Support budgeting and quarterly re-forecasting
Support the Commercial Manager in developing robust financial controls
Any other commercial finance tasks commensurate with the post
Educated to Bachelor’s degree level or equivalent (any discipline)
Experience in a commercial or financial environment
Driven to pursue a financial or commercial qualification
Commercial acumen and a ‘common-sense’ approach
Excellent interpersonal, communication and presentation skills Ability to work openly and collaboratively at all levels to maximise overall contract performance
Strong sense of urgency and desire to succeed
Intermediate/advanced Microsoft Excel skills
The role holder will be required to go through security clearance

Experience of a CAFM system
Experience of a NEC3 Contracts
Experience of facilities management or another outsourced industry
