The Facilities Assistant will be responsible for providing a high quality facilities service in the following areas: Document solutions (post, paperlite scanning, reprographics), porterage services, office service centre management (stationery stock control and ordering, paper replenishment). Meeting room bookings (internal & client) and moves and changes and archiving support. You will be proactive and always work with an awareness of Health & Safety best practice to provide an excellent customer experience. You will, as required, support the Office & Facilities Manager on all facilities services related elements of their role

Establish and maintain good working relationship with the client
Enhance-the delivery operations and client relationships on a day to day basis
Ongoing communications with the team support and manage the effective performance of people and develop them to meet the contract requirements
Support of the Facilities Manager in the execution of strategies of developing and enhancing relationships with clients.
Be an expert in what you do; take the time to develop knowledge and understand what we sell.
Welcome and act on feedback.
Be proactive in the identification and resolution of problems.
Document services (Post) – Receipt, sorting, distributing & accounting of all incoming mail & parcels. Regularly collect post/DX/parcels etc. from floors and account for all such items
Managing meeting room booking requests. Delivering hospitality requests to meetings as and when required
Document services (reprographics) – Collect, process & delivery within SLA of all copy, print, finishing and scanning requests according to priority. Provide a high quality low error service which encourages the use of this service and engage with the business effectively in proactively seeking work
Office service centre management (stationery) – Maintain an agreed level of stationery & copy paper in all OSC’s and replenish from stock as required. Refill MFD’s with paper to ensure all paper trays are full. Ensure all such areas are tidied throughout the day
Porterage services – move furniture and other items as required around the office, change meeting room furniture layouts as required
Ad hoc requests – Assist the site OM with any facilities requests
Ensure you adhere to Health and Safety guidelines and make sure all near misses and accidents are reported.
Ensure all compliance is adhered to with all relevant H&S and environmental legislation.
Submit information to the Facilities Manager regarding taxi & ad hoc bookings that incur client expenditure.
Confidentiality is critical. Ensure compliance with the Solicitors Regulation Authority (SRA) Code of Conduct at all times.
Monitoring & Submit reactive requests to ensure repairs are carried out in line with SLAs.
Working closely with H&S Team, supporting the inductions of Health & Safety to new staff.
Ensure procedures are followed with regard to risk assessments, display screen assessments, fire safety, (this list is not exhaustive).
Support the site’s Business Continuity Plan.
Ensure that you have received the necessary training so that you can competently carry out your duties and responsibilities. Acknowledge and accept a personal responsibility for safety.
Group Safety Support: You will be required to work closely with the Group Health and Safety team who are available to provide safety advice and support. Furthermore, you will be required to ensure that safety initiatives are implemented within your areas of control.
