We are currently recruiting for a Facilities Team Leader based in Manchester. Interserve are supporting Irwin Mitchell across the UK, delivering full workplace services to over 13 sites.
To support the Office & Facilities Manager managing the day to day operations of the Facilities team on site. You will always work with an awareness of Health & Safety best practice, and work closely with the Office & Facilities Manager, ensure compliance with all statutory regulations. As required you will support the onsite Facilities team which includes (the following lists are not exhaustive they are examples) document solutions, (post, DX, courier, scanning, reprographics), porterage services, front of house / reception / security services, cleaning, stationery stock control and ordering, vending stock control and filling, cash management and ordering, paper replenishment, managing toners, waste toner bottles and staples for reprographics machines, meeting room equipment, maintenance, stock management and moves (internal & client), archiving support, off-site shredding, recycling, energy reporting, general support of the office and any other duties as required.
To support the Office and Facilities Manager in the day to day operation of the entire Facilities team during periods of leave or other absence to ensure the continued highest levels of service to the business.
You will provide support to all members of the Facilities team to ensure a high level of service to clients and staff.
Provide stock control and delivery control on consumables whilst having an awareness of contracts and service level agreements.
Contribute to team performance and participate in team goals and plans.
To ensure all reactive work required is reported to the Office and Facilities Manager and recorded on any relevant systems to ensure third party support is obtained where necessary. Follow all relevant procedures to obtain costings and spend approval for work to be undertaken.
Support the Office and Facilities Manager on all internal office moves, dealing with new joiners and leavers in terms of their equipment and security pass access, health and safety compliance including desk assessments, PEEPs, new and expectant mother checks etc. and other projects affecting your site in connection with all facilities aspects.
Manage the performance of team members that you are responsible for and work with the Office and Facilities Manager in carrying out regular performance reviews, annual appraisals, set objectives in key performance reviews.
To carry out the role as summarised including objectives in key performance areas as agreed.
To ensure that the Office and Facilities Manager is kept fully up-dated with all aspects of facilities management affecting the office.
The Facilities Team Leader will be a key member of the on-site team and this role requires outstanding teamwork and communication skills.
To engage with, communicate with and support all those working in or visiting your site to portray a professional level of support across the office.
To comply with the client’s policies and procedures.
Support the Office and Facilities Manager with management of the Facilities teams including management of absence / holiday cover as well as having a proactive, hands on approach to supporting the team and your office.
Undertake the management of direct reports.
Ensure direct reports are trained and understand the respective site critical systems.
Establish and maintain good working relationships with the client and key stakeholders.
Ensure personal achievement and development plans are implemented for all direct reports, ensuring training and development requirements are implemented.
Manage and enhance the delivery operation and client relationships on a day to day basis.
Support of the Office & Facilities Manager in the execution of strategies for developing and enhancing relationships with clients.
To ensure compliance with the client’s Health & Safety requirements, including liaison with the client’s Health & Safety, Energy and Environmental Manager
Ensure that the office is kept clean, tidy and organised throughout and work with others within the office to effect this.
Ensure effective management of hot desks, agile working environment, meeting rooms (internal and client facing) ensuring all areas are maintained to an appropriate standard and support staff members from other offices when they require a place to work.
Be an expert in what you do; take the time to develop knowledge and understand the service we provide; ensure the team are motivated to do the same

Ensure all employees adhere to Health and Safety guidelines and make sure all near misses and accidents are reported to the Office and Facilities Manager.
Ensure all compliance is adhered to with all relevant H&S and environmental legislation
Confidentiality is critical. Ensure compliance with the Solicitors Regulations Authority (SRA) Code of Conduct and the Financial Conduct Authority (FCA) at all times.
Ensure all reactive requests identified are reported to the Office and Facilities Manager and carried out in line with SLAs
Ensure stock levels are maintained on site across all service lines and ensure that stock levels are up to date for the stationary, printer and copiers
Working closely with H&S Team, supporting the inductions of Health & Safety to new staff
Ensure procedures are followed with regard to risk assessments, display screen assessments, fire safety, (this list is not exhaustive)
Support the site’s Business Continuity Plan
Budget awareness of overheads which includes project works
Ensure all contractors adhere to policies and procedures
Embrace values, and implement diverse perspectives and ideas
Maintain good working practices to enhance asset value and promote a positive image of both the Client and Interserve
Contribute to business wide initiatives to develop the account thinking and plans
Implement, monitor and drive through improvements
