Providing administrative support to maintain the upkeep of the planned and unplanned maintenance system (Ultrasys). Assisting the Maintenance Team, Maintenance Manager and Operations manager with their day to day tasks. Takes responsibility for specific projects and tasks and, in some cases, oversee set projects. Responsible for raising purchase orders with third party suppliers.
Maintain and retrieve maintenance and QSHE information and documentation.
Assist in the management of Contractors on site.
Review and analyse data for deficiencies; resolving discrepancies by using standard procedures and returning incomplete documents for resolution.
Raising purchase orders for both spare parts and service.
Liaise with others for relevant procedures and audit trails.
Dealing with telephone and e-mail enquiries.
Keeping diaries and arranging appointments.
Maintain an up to date Contractor Induction register.
Generate and maintain unplanned lifecycle requests and reports.
Liaising with staff in other departments and with external contacts.
Generate and administrate maintenance team reports.
Manage audit reports (internal and external)
Progress chasing (corrective actions, report recommendations etc.)
Manage door access database and issue new key cards as needed.
Generic filing and up to date record keeping.
WHAT WE ARE LOOKING FOR
Good interpersonal skills with the ability to communicate with peers and at all levels of the business.
Ability to manage conflicting demands and prioritise tasks and workload.
Understanding of information management systems/databases.
Capable of working under pressure with minimum supervision.
Strong attention to detail, organised and efficient.
Strong Team player.
Ability to multi-task and work well under pressure.
The ability to plan own work, work on own initiative and meet deadlines.
Flexibility to work at AGI/ Other college occasions as required.
Facilities Maintenance environment an advantage.
Previous database, spreadsheet and word experience.
Previous experience in a Health and Safety environment.
Working within a small team.
08:00 – 4:30 Monday - Thursday
08:00 – 4:00 on Friday
